Most owners start out doing the books themselves, then hand them to a bookkeeper. That works, until it doesn't. The trouble is that the moment it stops working is rarely obvious. 1. You find out how the month went weeks after it ended

If management accounts arrive so late they are history rather than information, you are making decisions blind. A properly run finance function closes the month within days, not weeks, and the pack includes commentary you can act on, not just numbers.

2. Cash flow keeps surprising you

Profit on paper, empty bank account in practice. Without a rolling 13-week cash flow forecast, you are reacting to the balance instead of planning it. Surprises at payroll time are the classic symptom.

3. Compliance is a scramble

4. Your accountant only talks to you once a year

Annual financial statements are a rear-view mirror. You need someone in the passenger seat, reviewing numbers monthly, flagging risks and opportunities as they happen, and picking up the phone before SARS does.

5. You can't tell which products, projects or clients make money

Total profit hides a lot. Without costing and margin analysis by product line, project or customer, you may be working hardest on the least profitable part of the business. That is a financial-management question, not a bookkeeping one.

6. Funders, investors or auditors are asking questions you can't answer quickly

A bank wants three years of management accounts and a forecast. An investor wants a clean audit file. An auditor wants reconciliations. If producing these takes weeks, the finance function is under-resourced.

What to ask a provider before you sign

Recognising the need is the easy part. Choosing well is where businesses get it wrong, usually by comparing monthly fees rather than what sits behind them. These are the questions that actually separate providers.

  1. 1Who reviews the work, and what is their designation? The person doing your processing is rarely the person whose judgement you are buying. Ask for both names.
  2. 2What is the deliverable date each month? A specific working day, not "mid-month". Then ask what happens when it is missed.
  3. 3What is explicitly out of scope? SARS verifications, audit support, ad hoc analysis and system migrations are the usual extras. Better to see the list now.
  4. 4How is my data handled if we part ways? You want your ledger, registers and working papers back, in a usable format, without a fee.
  5. 5What happens when your team member is on leave? Continuity is the main structural advantage of outsourcing, so ask them to prove it.
  6. 6Can you show me a sample management pack? Not a template screenshot, an anonymised real one. It tells you more than the proposal does.
