How to compare accounting quotes properly

What a fair fee should always include

Price is only comparable once you know what sits inside it. Whatever you pay, and whoever you pay it to, these should be in the engagement letter rather than billed as extras after the fact. If a quote is silent on them, that is not a cheaper quote, it is an incomplete one.

  • A named deliverable and a date. "Management accounts by the 10th working day", not "monthly reporting".
  • Who prepares and who reviews. Two different people, with the reviewer's designation stated.
  • Routine SARS correspondence. Ordinary queries and follow-ups should be inside the fee. A full verification or an audit reasonably sits outside it, but the boundary must be written down.
  • A defined scope of transactions or headcount, with what happens when you cross it. Fees that quietly ratchet are the most common source of client disputes.
  • Ownership of your data. You should be able to leave with your ledger, your fixed asset register and your working papers, in a usable format, at no charge.
  • Turnaround for ad hoc questions, so "we will come back to you" has a meaning.

The other half of value is what you avoid. A single missed VAT deadline, an under-estimated provisional payment or an unreconciled EMP501 can cost more in penalties and interest in one month than the fee difference over a year. Price the downside, not only the invoice.
